The Leave Administrator provides daily administrative and project coordination support to the Leave of Absence (LOA) process within the Benefits & HR Administration Department. This individual helps ensure that leave of absence processes (including disability and benefits plans) are followed in a timely and accurate manner.


  • Maintain working knowledge of all regulatory and legal standards, including FMLA, ADA, Paid Family Leave (PFL), HIPAA Privacy Laws, state disability guidelines and any other relevant LOAs. 
  • Understand and communicate Atria’s leave policies and benefits plans to all levels of employees. 
  • Complete and submit requests for information from state run disability programs and Atria’s disability carrier in a timely manner.
  • Track and monitor all leave certification and recertification requirements and ensure continued qualification for leave on a timely basis. Constantly track intermittent leave and ensure appropriate application of PTO and other paid leave.
  • Monitor disability claim processing and payments and audit carrier calculations. Establish regular contact with the disability carrier and advise claimants and other appropriate HR staff of claim processing issues.
  • Ensure LOA data is timely and accurately entered in appropriate systems. 
  • Follow up with employees regarding disability and other paid leave benefits in a timely manner as part of the leave process. 
  • Accurately file disability, leave paperwork, doctor’s notes, and employee/employer communication regarding leave of absence.
  • Provide administrative support to team leadership including calendar management, coordination of meetings and events, and filing. 
  • Manage preparation and distribution of Leave of Absence materials and mailings.
  • Handle confidential information including employee medical records and compensation data and demonstrate ability to handle such confidential information with discretion.
  • May perform other duties as needed and/or assigned.
  • Bachelor’s degree is preferred.
  • One (1) year of administrative experience, preferably in a human resources department.
  • Proven experience with handing confidential information.   
  • Strong computer and research skills with proficiency in MS Office programs. Expert skills in MS Excel.
  • Specific communication experience within a large multi-site, multi-state employer.
  • Strong professional written and verbal communication skills.
  • Demonstrated organizational skills, attention to detail, and multitasking abilities.
  • Must be customer-service oriented and enjoy working with clients over the phone and in-person.
  • Must have or be willing to get a COVID-19 vaccine, subject to legal requirements.
